DECODED: Tackling the Paper Mountain
Using AI to bring order and clarity to the chaos of investment reports and documents.

Most investors don’t read the PPM or their quarterly reports. They’re long, technical, and boring.
But full of critical information you need to know.
Keep reading for the three-step workflow that will get you up to speed on your existing investments, and stay current each quarter.

For Existing Investments
If you have syndicated investments that you didn’t really understand from day one, you’re not alone.
Here’s how to put things in order:
Step 1: Gather your documents
It’s ideal to pull all the materials - starting with the offering materials and continuing all the way through the most recent report. This will give you a complete picture of what the offering was selling compared to what actually happened.
Your document file should include:
Marketing and other offering materials such as the pitch deck.
Closing documents such as the OM and PPM.
All reports: quarterly reports, financial documents, and emails.
Step 2: Feed into AI
I use NotebookLM for this type of analysis since the source data is controlled. The workflow looks like this:
Create a new Notebook within NotebookLM.
Upload all the files you collected in Step 1.
Step 3: Start analysis
You’re on the verge of discovery. NotebookLM now has all the information and is ready to help.
No specific prompt is necessary; AI works with natural speech prompts. If you are getting bad responses, try asking more specific, clear questions.
If this is an investment you want to understand from the beginning through today you can start with something like:
“Provide a short summary of this investment written for the investor that covers the plan, intermediate actions, and current state of the investment.”
From here, you can start asking deeper questions like:
What events have occurred that have challenged the investment performing to plan?
How well has the GP communicated the status of the project to LPs?
What exit timeline and IRR can investors expect?
For tailored financial analysis, provide Notebook with your investment position and amount, as well as the details of any capital calls you participated in. This will give Notebook the information necessary to understand your position and provide information and analysis tailored to you.
At this point, you should be well on your way to understanding the investment’s original plan, the interim storyline, and the current status.
Once you've got the full picture, keeping current becomes surprisingly manageable.
For Quarterly Updates
Now that you know what’s happening with your investments, it will be easier to keep up on the quarterly reports.
Step 1: Create a tracking tool
I use Excel to track all of my syndicated investments. I copy the most recent sheet and start fresh each quarter so the file provides a quarter-by-quarter record.
I include columns for:
Sponsor name
Deal name
Investment details:
date
amount
type (common equity, pref equity, etc)
Planned metrics:
hold period
IRR
COC
Actual metrics
(same as above but AI will do the analysis with the actual performance data)Notes
date updated
1-2 sentence summary of what’s up
Step 2: Update Notebook
Leverage the work already completed “For Existing Investments” using the following workflow:
Navigate back to the original analysis completed as described above.
Tip: Rename the Notebook with the sponsor and deal name so it’s easy to find later.
Upload the most recent report document(s).
Ask Notebook for an update. I typically ask something like:
“Summarize the most recent quarterly report for Q4 2025, and revise anticipated investor exit and IRR accordingly.”
If anything seems unclear, ask more questions.
Step 3: Update your tracking tool
Now that you know the latest news on your investment’s status you can update the relevant fields in your tracking tool. If you’re reviewing your cash flow, capital gains, and overall investment and personal finance situation, this will be invaluable.
Keep in Mind
NotebookLM does not automatically source data from the internet.
If you want to know something like “compare this deal’s vacancy rates to comparables” it won’t be able to answer that. You will need to add web-based source data.
How to add relevant source data from the internet.
When adding web-based source data, it is necessary to stipulate exactly what you want. Be sure to note:
the types of sources to prioritize (ie CoStar, GreenStreet, CBRE, etc)
any sources you don’t want (blogs, reddit, etc)
the date range (ie Q4 2025 only)
the location (ie Dallas TX metro area)
Notebook will provide a list of matches. Select the sources you want to use from the list. You now have market-level information to compare to your deal.
Do not upload sensitive personal information.
Redact any personal information before uploading. The risk may be low, but it’s not worth putting your personal information out on the internet.
Always check the AI’s work.
AI will make mistakes. It’s important to check the work. Depending on your objectives, this can be simple.
Ask for clarification. For example, ask for the math and sources that produced a number.
Challenge the results. If something seems off to you, ask for the logic and sources used to arrive at a conclusion.
Read the documents yourself. If you are making a critical decision (like making a new investment, or abandoning an existing investment), be sure you read the materials yourself. AI is a great tool to cut through the work, but it’s not a replacement for your own brain.
AI does not understand context very well or sometimes at all. It gives all information equal weight. So, a pitch deck’s assertion that 90% LTV is optimal is seen the same as an industry report warning of high-leverage risk. This is how AI can seemingly hallucinate or make illogical conclusions.
Changes in AI are rapid.
I see improvements each week. The process described here is still manual. However, AI is quickly evolving to handle complex tasks autonomously. Claude’s Agents and OpenClaw are quickly changing the game.
